How Engagements Are Structured

Step 1: Free 30-Min Strategy Call

The starting point for most engagements. We discuss your situation, current CRM setup (if any), business goals, and constraints. Output: a candid assessment of whether SuiteCRM fits and what the rough budget range would be. No pitch, no commitment.

Step 2: Paid Discovery (Optional)

For larger or more complex engagements, a 1–2 week paid discovery ($2,500–$5,000) produces a detailed scope, technical architecture, integration plan, and fixed-price quote. Discovery fees credit toward implementation if you proceed.

For smaller engagements, we usually skip paid discovery and provide a fixed quote directly from the free call.

Step 3: Fixed-Price Implementation

Most engagements run on fixed price. Once scope is signed, the price doesn’t change unless scope changes (and scope changes go through a documented change order process, not surprise invoices).

For larger engagements with genuine uncertainty, we offer phased fixed pricing — Phase 1 fixed, Phase 2 quoted once Phase 1 outputs are known.

Step 4: Time-and-Materials (Rare)

For exploratory work, prototyping, or pure consulting where fixed scope doesn’t make sense, we offer T&M billing at standard rates: $125/hour (junior engineer), $175/hour (senior engineer), $225/hour (specialist / architect). Most clients prefer fixed price for predictability.

Step 5: Ongoing Operations

After go-live, most clients move to managed support and optionally managed hosting under monthly plans. These run quarterly or annually with no long-term lock-in.

What’s Not Included

Honest disclosure of costs we don’t bundle:

Cloud infrastructure. AWS, Azure, GCP, DigitalOcean costs are billed directly to your cloud account or passed through with no markup. Typical mid-market hosting infrastructure: $200–$1,500/month depending on size.

AI provider costs. OpenAI, Anthropic, Hugging Face, or other AI provider API costs are pass-through. Typical AI workload cost: $200–$2,000/month depending on volume.

Third-party SaaS subscriptions. Email providers (SendGrid, Mailgun), SMS providers (Twilio, MessageBird), KYC providers (Jumio, Onfido), document signing (DocuSign), and other third-party tools you choose to integrate are billed directly by those vendors.

SuiteCRM itself. Open source. Free. Zero licensing cost. This is the structural advantage that makes the SuiteCRM economics work.

Hardware and devices. Mobile testing devices, on-site equipment, etc.

Travel and per diem (when on-site delivery is requested).


Why We Show Pricing Publicly

Most CRM agencies hide pricing for one of three reasons: (1) they price-discriminate based on what they think they can extract from each buyer, (2) their pricing is so high they can’t lead with it, or (3) they don’t have repeatable scopes so they can’t quote without weeks of discovery.

We show pricing publicly because:

  1. It respects your time. Buyers can self-qualify in seconds instead of scheduling discovery calls to find out we’re 5x over budget.
  2. It removes the price-anchoring game. No “let me see what I can do” theater. The price is the price.
  3. It reflects honest discipline. We’ve delivered enough engagements to know what they actually cost. Showing the ranges is just being transparent about that.
  4. It filters for the right clients. Buyers who want the cheapest possible vendor self-select away. Buyers who want quality at honest pricing self-select in.

If our pricing is wrong for your situation — too high, too low, or off in some other way — we’d rather know that in the first 5 minutes than in week 4 of a sales cycle.


Frequently Asked Questions

Why don’t most CRM agencies show pricing?

Mix of reasons. Some firms price-discriminate based on what they can charge each buyer. Some have wildly variable scopes and can’t quote without weeks of work. Some just believe in the sales-funnel theater. We’ve decided transparency works better than theater — it filters for the right clients and respects everyone’s time.

Is the SuiteCRM software actually free?

Yes. SuiteCRM is open-source software with zero licensing cost. You pay for setup, customization, hosting, and support — the work needed to make SuiteCRM useful for your specific business. The software itself has no per-user fees, no per-contact fees, no AI add-on fees. This is the fundamental cost advantage over Salesforce, HubSpot, and similar platforms.

Can you go lower than your listed ranges?

Sometimes, for narrow scopes or repeat clients. Most ranges reflect honest cost. If you have a specific scope and a specific budget, share it in discovery and we’ll tell you straight whether we can deliver at that number. No bait-and-switch.

Can you go higher than your listed ranges?

For very complex engagements — enterprise multi-region deployments, regulated industry deployments with novel compliance requirements, multi-system consolidations — yes. We’ll tell you upfront if we think your project exceeds the published ranges.

Are there hidden costs?

The “What’s Not Included” section above lists everything that isn’t bundled. The main ones are cloud infrastructure (passed through to your cloud account), AI provider costs (passed through), and third-party SaaS subscriptions you choose to integrate. We don’t have surprise change orders on fixed-price engagements — scope changes go through a documented change order process you approve in writing before any new work begins.

Do you offer payment plans?

Yes for larger engagements. Standard structure is 30% on contract signing, 30% at midpoint milestone, 40% at go-live. Other structures (monthly, milestone-based) available for engagements above $50,000.

What payment methods do you accept?

USD: Wire, ACH, credit card (via Stripe). INR: Bank transfer (NEFT/RTGS/IMPS), UPI, credit card (via Razorpay) with GST compliance. Other currencies (EUR, GBP, AUD, CAD, AED) available on request.

What if you underestimate and the project costs more than your quote?

That’s our risk, not yours. Fixed-price means fixed price. If we underestimated, we eat the difference. The only exception is genuine scope expansion you request — and those go through formal change orders you approve before we proceed.
