Most CRM agencies hide their pricing behind “Contact us for a quote.” We don’t. Showing real pricing upfront respects your time and lets you compare honestly. The numbers below reflect what our engagements actually cost — typical ranges from completed projects across 150+ deployments and 19 industries.
Three things matter about how we price:
No per-user licensing. SuiteCRM is open source. You don’t pay $150–$300 per user per month forever like Salesforce, HubSpot, or Microsoft Dynamics. You pay for setup and support — your headcount can grow without your CRM cost growing.
Fixed-price proposals. After Phase 1 discovery (1 week), we provide a fixed-price quote for the entire engagement. No surprise change orders, no scope-creep billing. If we underestimate, that’s our problem, not yours.
Predictable ongoing costs. Hosting and support run on transparent monthly plans, billed quarterly or annually. You can budget accurately.
End-to-end implementation — discovery, configuration, data migration, integrations, training, go-live. See our SuiteCRM Implementation service for what’s included.
| Team Size | Typical Cost | Timeline |
| Small business (5–25 users) | $8,000 – $20,000 | 2–6 weeks |
| Mid-market (25–100 users) | $20,000 – $45,000 | 4–10 weeks |
| Multi-integration deployment | $25,000 – $55,000 | 6–12 weeks |
| Enterprise (100+ users) | $50,000 – $150,000 | 10–20 weeks |
| Regulated industry (HIPAA, SOC 2) | $30,000 – $90,000 | 8–16 weeks |
For Indian engagements: ₹6 lakh to ₹1 crore+ depending on scope. See our SuiteCRM Partner India page for INR-specific pricing and GST handling.
What drives cost up: number of integrations, data migration complexity, custom module development, regulatory compliance frameworks, multi-region deployments, complex role and security configurations.
What keeps cost down: standard SuiteCRM features wherever possible, phased rollout (sales first, marketing/support later), clean source data for migration. For more on cost optimization, see our SuiteCRM Implementation Cost Breakdown for 2026 and SuiteCRM Pricing Complete Guide.
Migration from Salesforce, HubSpot, Zoho, SugarCRM, or other CRMs to SuiteCRM. See our SuiteCRM Migration service for the full process.

| Platform | Year 1 | Year 2 | Year 3 | 3-Year Total |
| TechEsperto + SuiteCRM | $60K (implementation + hosting + support) | $48K (hosting + support) | $48K (hosting + support) | $156K |
| Salesforce Enterprise | $100K (licensing + implementation) | $90K (licensing + maintenance) | $90K (licensing + maintenance) | $280K |

| HubSpot Pro Suite | $80K (licensing + implementation) | $72K (licensing + maintenance) | $72K (licensing + maintenance) | $224K |
| In-house Salesforce admin + licensing | $250K (hire + licensing) | $230K | $230K | $710K |

For SaaS, E-commerce, and other industries — see industry-specific pages for detailed pricing patterns. Most non-regulated industries fall within standard ranges shown above.
The starting point for most engagements. We discuss your situation, current CRM setup (if any), business goals, and constraints. Output: a candid assessment of whether SuiteCRM fits and what the rough budget range would be. No pitch, no commitment.
Available via free CRM audit.
For larger or more complex engagements, a 1–2 week paid discovery ($2,500–$5,000) produces a detailed scope, technical architecture, integration plan, and fixed-price quote. Discovery fees credit toward implementation if you proceed.
For smaller engagements, we usually skip paid discovery and provide a fixed quote directly from the free call.
Most engagements run on fixed price. Once scope is signed, the price doesn’t change unless scope changes (and scope changes go through a documented change order process, not surprise invoices).
For larger engagements with genuine uncertainty, we offer phased fixed pricing — Phase 1 fixed, Phase 2 quoted once Phase 1 outputs are known.
For exploratory work, prototyping, or pure consulting where fixed scope doesn’t make sense, we offer T&M billing at standard rates: $125/hour (junior engineer), $175/hour (senior engineer), $225/hour (specialist / architect). Most clients prefer fixed price for predictability.
After go-live, most clients move to managed support and optionally managed hosting under monthly plans. These run quarterly or annually with no long-term lock-in.
For engagement model details, see our engagement models page.
Honest disclosure of costs we don’t bundle:
Cloud infrastructure. AWS, Azure, GCP, DigitalOcean costs are billed directly to your cloud account or passed through with no markup. Typical mid-market hosting infrastructure: $200–$1,500/month depending on size.
AI provider costs. OpenAI, Anthropic, Hugging Face, or other AI provider API costs are pass-through. Typical AI workload cost: $200–$2,000/month depending on volume.
Third-party SaaS subscriptions. Email providers (SendGrid, Mailgun), SMS providers (Twilio, MessageBird), KYC providers (Jumio, Onfido), document signing (DocuSign), and other third-party tools you choose to integrate are billed directly by those vendors.
SuiteCRM itself. Open source. Free. Zero licensing cost. This is the structural advantage that makes the SuiteCRM economics work.
Hardware and devices. Mobile testing devices, on-site equipment, etc.
Travel and per diem (when on-site delivery is requested).
Most CRM agencies hide pricing for one of three reasons: (1) they price-discriminate based on what they think they can extract from each buyer, (2) their pricing is so high they can’t lead with it, or (3) they don’t have repeatable scopes so they can’t quote without weeks of discovery.
We show pricing publicly because:
If our pricing is wrong for your situation — too high, too low, or off in some other way — we’d rather know that in the first 5 minutes than in week 4 of a sales cycle.
Why don’t most CRM agencies show pricing?
Mix of reasons. Some firms price-discriminate based on what they can charge each buyer. Some have wildly variable scopes and can’t quote without weeks of work. Some just believe in the sales-funnel theater. We’ve decided transparency works better than theater — it filters for the right clients and respects everyone’s time.
Is the SuiteCRM software actually free?
Yes. SuiteCRM is open-source software with zero licensing cost. You pay for setup, customization, hosting, and support — the work needed to make SuiteCRM useful for your specific business. The software itself has no per-user fees, no per-contact fees, no AI add-on fees. This is the fundamental cost advantage over Salesforce, HubSpot, and similar platforms.
Can you go lower than your listed ranges?
Sometimes, for narrow scopes or repeat clients. Most ranges reflect honest cost. If you have a specific scope and a specific budget, share it in discovery and we’ll tell you straight whether we can deliver at that number. No bait-and-switch.
Can you go higher than your listed ranges?
For very complex engagements — enterprise multi-region deployments, regulated industry deployments with novel compliance requirements, multi-system consolidations — yes. We’ll tell you upfront if we think your project exceeds the published ranges.
Are there hidden costs?
The “What’s Not Included” section above lists everything that isn’t bundled. The main ones are cloud infrastructure (passed through to your cloud account), AI provider costs (passed through), and third-party SaaS subscriptions you choose to integrate. We don’t have surprise change orders on fixed-price engagements — scope changes go through a documented change order process you approve in writing before any new work begins.
Do you offer payment plans?
Yes for larger engagements. Standard structure is 30% on contract signing, 30% at midpoint milestone, 40% at go-live. Other structures (monthly, milestone-based) available for engagements above $50,000.
What payment methods do you accept?
USD: Wire, ACH, credit card (via Stripe). INR: Bank transfer (NEFT/RTGS/IMPS), UPI, credit card (via Razorpay) with GST compliance. Other currencies (EUR, GBP, AUD, CAD, AED) available on request.
What if you underestimate and the project costs more than your quote?
That’s our risk, not yours. Fixed-price means fixed price. If we underestimated, we eat the difference. The only exception is genuine scope expansion you request — and those go through formal change orders you approve before we proceed.
Can I get a custom quote for my specific situation?
Yes — that’s exactly what the free CRM audit is for. 30-min strategic call, written assessment of your situation, fixed quote for the specific engagement. No pitch, no commitment.
How does Indian pricing compare to USD pricing?
Indian engagements price in INR with GST. Approximate conversions: $8,000 ≈ ₹6.5 lakh, $20,000 ≈ ₹16 lakh, $50,000 ≈ ₹40 lakh. See our SuiteCRM Partner India page for detailed INR pricing.
Do you offer discounts for nonprofits or educational organizations?
Yes. Verified nonprofits, educational institutions, and healthcare providers serving underserved communities get a 15–20% discount on implementation and ongoing support. Discovery includes a discussion of eligibility. See our blog posts on SuiteCRM for Nonprofits and SuiteCRM for Education.
How does your pricing compare to hiring in-house?
For most mid-market businesses, our pricing is 30–60% lower than the fully-loaded cost of equivalent in-house capability (one SuiteCRM developer at $120K + benefits + management + slow learning curve). The math flips at very large scale — enterprises with multiple full-time CRM engineers may find in-house economics work better. We’re honest about this in discovery.
Can you guarantee ROI?
We don’t guarantee ROI because ROI depends on factors outside our control (your sales execution, your market conditions, your team adoption). What we guarantee is on-time, on-budget delivery of the scope we contract for, and the platform foundation that lets ROI happen. Most clients see positive ROI within 60–90 days of go-live based on labor savings, sales cycle improvement, and licensing cost reduction alone.
What if I’m not sure if SuiteCRM is right for me?
Start with the free CRM audit. We look at your current setup, costs, compliance needs, and operational pain points, and give you a written assessment with honest recommendations. Sometimes the recommendation is “stay with what you have” — we’d rather tell you that than oversell. For broader vendor evaluation, see our guides on How to Choose a SuiteCRM Partner, the Ultimate CRM Buying Guide for 2026, and 5 Signs You Need a CRM Partner.
